Job Description:
The confidential aide position is responsible for transporting senior officials to various campuses across New York State. This position is important to allow the Executive Leadership Team to continue working while traveling long distances. The confidential aide performs a variety of administrative and operational duties such as preparing briefing materials, PowerPoints, and assisting with all SUNY System Administration sponsored events. The confidential aide also coordinates office activities and performs administrative support for the Executive Leadership Team. Assignments include such duties as office coordination, scheduling meetings, preparing, and maintaining office records, reports, confidential files, and correspondence pertaining to the department's area of responsibility.
Duties and Responsibilities:
- Drives a variety of motor vehicles both on and off state property in order to transport people, materials, and equipment as required.
- Responsible for transporting senior officials throughout New York State to various campuses and events.
- Maintains assigned vehicles in good operating order by performing daily maintenance checks of the fuel, motor oil, brakes, lights, coolant, tires, and general running condition, adding fluids such as water and oil, when appropriate.
- Maintains interior and exterior cleanliness of assigned vehicles.
- Completes trip records and other records relating to transporting of program participants.
- Composes routine letters, memorandums, reports, minutes of meetings, scientific or technical material, numerical data, charts, and forms as assigned.
- Creates and revises forms; proposes procedures, formats, and standards for the office correspondence.
- Manages internal and external special projects in coordination with other departments and/or organizations on behalf of the Chancellor's Office.
- Keeps abreast of Executive's immediate and long-term commitments and plans; identifies conflicts, flags problems for intervention, and corrects course as appropriate.
- Demonstrates an ability to interact with persons of all backgrounds, cultures, and affiliations within all levels of government, business, or non-profit entities.
Minimum Qualifications Minimum Qualifications:
- High School Diploma
- Extensive knowledge of all NYS roadways
- Expert navigation skills
- Excellent driving record
- General knowledge of car mechanics
- Tidy appearance
- Attention to detail
- Able to maintain confidentiality
Additional Comments Additional Information:
- This position includes heavy travel with the ability to stay overnight. Often working long hours.
- Salary is dependent on a variety of factors, including but not limited to, experience, education, training, and certifications. The range for this position is $66,000-$76,000 annually.
- State Title: Confidential Aide (MC 06 NS) and is a Management Confidential position.

- This position will be based in Albany, NY. This position requires full-time in-office work; remote work is not available.
